Moving an office or preparing a company relocation is complex and demands careful planning. Below are 7 essentials for a smooth move.
1). Choose a suitable office moving company

Not all movers specialise in corporate relocation — look for proven office and IT relocation experience.

Compare services, not just price: furniture and document handling, document destruction, secure storage, warehousing, heavy lifting, and certified data wiping for retired computers.
2). Plan a detailed company relocation timeline

2–3 months before: Arrange a telecoms site survey. Fibre installation and landlord approvals in older commercial buildings can take weeks.

1 month before: Confirm number retention, broadband installation and any overlap period between sites. Hong Kong's 2G network was switched off on 23 June 2026 — upgrade any remaining 2G SIM devices such as alarm panels, wireless POS terminals or lift communication units now.

3 weeks before: Book the movers, then declutter, label and categorise items.

2 weeks before: Notify both property management offices for lift and loading bay access. Grade A buildings often require proof of the mover's insurance.

3). Insurance and liability

Confirm the mover's cargo transportation insurance and request proof of cover.

Review the compensation agreement before signing, clarifying how liability is allocated.

Notify your own insurer of the address change so property and employees' compensation policies remain valid.
4). Handling and disposal of waste

Municipal Solid Waste Charging remains suspended and is now a standby tool. Designated bags and labels are not required.

Construction waste from fit-out work is still chargeable: HK$71 per tonne at public fill facilities, HK$175 at sorting facilities, HK$200 at landfills. State clearly in the fit-out contract who opens the billing account and bears the cost.

Regulated electrical equipment, including computers, monitors and printers, qualifies for statutory free removal when buying replacements. Otherwise use a licensed recycler and wipe all drives first.

5). Equipment & IT Relocation

Data backup: Follow the 3-2-1 principle and run a restore test before the move. An untested backup is not a backup.

6). Update Business Registration Address

Notify the Business Registration Office within one month, in writing or via eTAX.

7). Coordinate Employee Packing
- Provide boxes, bubble wrap and newspaper in advance.
- Ask staff to label each box with their name plus the new seat or zone number, so movers can deliver directly.
